This Privacy Policy explains how OperationHQ collects, uses, stores and protects information when businesses use our website, platform and related services.

OperationHQ is a product of JAI SHREE RAM VERTEX, a partnership firm. References to “OperationHQ”, “we”, “us” and “our” in this Policy mean JAI SHREE RAM VERTEX.

1. Scope of this Policy

This Policy applies to operationhq.tech, the OperationHQ application, demonstrations, trials, subscriptions, support and other services supplied by us. When a customer organisation uses OperationHQ for its employees, vendors or other users, that organisation decides what operational information is entered and is responsible for giving required notices and obtaining required permissions from those individuals.

2. Information we process

Account and business information

We may collect names, business email addresses, telephone numbers, company name, role, team size and information shared while requesting a demo, registering for a trial, creating an account or contacting support.

Customer Content

We process information that authorised users enter, upload, generate or configure in OperationHQ. Depending on the modules selected by the customer, this may include workflows, tasks, tickets, approvals, reports and related operational records. The customer controls what Customer Content is submitted.

AI interactions

We may process prompts submitted to OperationHQ’s AI features and the resulting responses so that we can provide the requested output, maintain context where enabled, troubleshoot the service and improve reliability. Customers should not submit information they are not authorised to process.

Billing records

We may retain subscription plan, invoice, GST, payment status and transaction-reference information needed for billing, accounting and legal compliance. We do not request customers to make payment through the OperationHQ website.

3. How we use information

  • To create and administer accounts, trials and subscriptions.
  • To operate selected modules, workflows, automation, reporting and AI features.
  • To respond to demo requests, support questions and service communications.
  • To secure, diagnose, maintain and improve the platform.
  • To issue invoices, maintain transaction records and comply with tax or legal obligations.
  • To enforce our Terms of Service and prevent fraud, misuse or security incidents.

We do not sell Customer Content or personal information.

4. Data hosting and customer choice

OperationHQ-managed environment

Unless another arrangement is agreed, OperationHQ may host and process Customer Content using its managed infrastructure, including Supabase. Access is limited to authorised personnel and used only where reasonably necessary to operate, secure or support the service.

Customer-controlled deployment

If requested and technically feasible, we may deploy or configure the database in an environment controlled by the customer. The customer bears the infrastructure, database, maintenance and related third-party costs. The customer is responsible for technical administration and maintenance unless a separate written support or managed-services agreement states otherwise.

In a customer-controlled deployment, JAI SHREE RAM VERTEX has no routine database access or visibility. Any technical-support access must be explicitly authorised by the customer, limited to the approved purpose and duration, and may be withdrawn by the customer.

5. Payments and financial information

OperationHQ does not currently accept payment through its website. An authorised representative coordinates the subscription and payment process directly with the customer. Customers should pay only against instructions and documentation issued by an authorised representative. We do not ask customers to enter card, UPI PIN, banking password or similar payment credentials on operationhq.tech.

6. When information may be shared

We may share the minimum necessary information with infrastructure and technology providers that help us deliver the service, with professional advisers, or with government and legal authorities where required by applicable law. These parties may process information only for the relevant service or legal purpose. We may also disclose information during a genuine merger, restructuring or transfer of business, subject to appropriate confidentiality and notice where required.

7. Security

We use reasonable administrative, technical and organisational safeguards appropriate to the nature of the information and deployment selected. No internet-based service is completely secure, and we cannot guarantee absolute security. Customers must protect account credentials, assign access appropriately, keep their systems secure and notify us promptly of suspected unauthorised access.

8. Retention, export and deletion

During an active subscription, we retain information as needed to provide the service. When a subscription is cancelled, we make the customer’s available data or an agreed export available to the customer, subject to technical feasibility, account verification and any outstanding contractual obligations.

We do not automatically delete Customer Content immediately after cancellation. If the customer asks us to delete data held in an OperationHQ-controlled environment, we will schedule deletion after a seven-day period. The customer must download and verify any required export before deletion. After deletion begins, recovery may not be possible. We may retain invoices, tax records, security logs, dispute records and other limited information for the period required by law or legitimate compliance needs.

For customer-controlled deployments, the customer controls retention, backup, export and deletion unless otherwise agreed in writing.

9. Customer and individual rights

Subject to applicable law and account verification, a person may request access, correction or deletion of personal information processed directly by us. If information was submitted by a customer organisation, the request should normally be directed to that organisation first because it controls the relevant Customer Content. We may forward the request to the customer or assist it where contractually required.

10. Service providers and data locations

Technology providers used to operate OperationHQ may process information in India or other countries where they maintain infrastructure. Where required, we take reasonable steps to use appropriate contractual and security safeguards. A customer-controlled deployment may allow the customer to select its own hosting provider and region, subject to technical availability.

11. Business use and minimum age

OperationHQ is intended for organisations and authorised business users aged 18 years or older. It is not intended for children, and we do not knowingly offer accounts directly to persons under 18.

12. Changes to this Policy

We may update this Policy to reflect changes in the service, law or our practices. The revised version will show a new “Last updated” date. Where a change materially affects customer rights, we will provide reasonable notice through the service, email or another appropriate channel.
